Check the requested document before choosing a file
Read the application’s attachment instructions and confirm which person and document the request concerns. Do not rely only on a filename such as “final.pdf”. Open the file and compare its contents with the item you intend to supply.
Use a brief upload register with the document description, local filename and date attached. It should help you reconstruct what you supplied later, without making another unprotected collection of passport numbers or financial details.
Make scans readable before compressing them
Check the full page, not just the central text. Page edges, signatures, dates and supporting pages can be lost during scanning. Review the file after any compression or conversion because the version uploaded may differ from the original scan.
Follow the current file-type and size instructions displayed by the official system. This guide does not hard-code limits that may change. If a file fails a technical requirement, fix the file format or clarity without changing the underlying document’s content.
Keep translations connected to originals
Where English translation is required, follow the official translator rules and retain both the original-language record and its translation. Give them related filenames so the connection is obvious during your own review.
For example, label the two files by applicant and document type, with “original” and “English translation” clearly distinguished. That is an organisation convention, not a prescribed Home Affairs naming format. Check the application’s actual attachment instructions before deciding how to submit them.
Record attachments and keep your copies
Maintain a secure copy of the evidence you intend to submit before uploading it. Home Affairs’ attachment guidance says you cannot access supporting documents from ImmiAccount after upload. Do not treat the account as your personal document archive.
Once you attach a file, record the action in your working register and retain any relevant confirmation. Avoid circulating the complete folder to everyone involved in a family trip. Give access only to people who need the information for the agreed task.
Use the official route for later additions or corrections
Home Affairs says not to email supporting documents and notes that documents cannot be attached to finalised applications. Follow the current online guidance for your application’s stage rather than assuming an email or a second application is the solution.
If you discover an incorrect attachment or answer, read the applicable official correction instructions. Identify what is wrong and which applicant is affected before acting. For a new document request, work from the request itself and keep the response deadline visible.
