Confirm the message and the applicant
Access your account through the official Home Affairs route and read the correspondence there. Check the applicant’s name and reference before taking action, especially if you are helping more than one family member. Do not act only on a cropped screenshot or a forwarded subject line.
Save the complete request securely. Record when it arrived and the deadline shown. If the wording is unclear, identify the exact question that needs clarification rather than assuming the request matches an online example.
Break the request into individual tasks
Make a working table with one row per requested item: what is asked, the evidence needed, who can obtain it and the due date. Keep the original wording available beside your notes so your summary does not change its meaning.
For example, a request about a funding arrangement should lead you to review that arrangement and the evidence specifically sought. Uploading an unrelated itinerary does not answer the question simply because it adds another document to the account.
Prepare accurate, relevant evidence
Use genuine records and check that they relate to the applicant and period concerned. Explain matters truthfully where an explanation is requested. Do not alter records or invent a new story to make an earlier answer look more convenient.
If a request exposes a mistake in the original application, follow the official correction process. Where the issue needs migration or legal advice, seek an appropriately authorised professional. Administrative organisation cannot determine the legal effect of a discrepancy.
Handle deadlines explicitly
Do not assume that sending an enquiry pauses the response deadline. If you cannot obtain something in time, use the official instructions or contact route to establish what action is available. Keep a record of the communication and any actual response.
A private assistant cannot grant an extension.
Distinguish a request you have made from an extension that has been confirmed. Continue completing the steps you can responsibly complete while the uncertainty is being resolved.
Keep a response record and continue monitoring
Use the specified submission channel and retain your own copies of the response. Note which files were supplied, when and for whom. Home Affairs’ upload guidance says not to email supporting documents, so follow the official account instructions rather than choosing a convenient informal channel.
After responding, continue monitoring messages. Completion of your response does not guarantee a favourable outcome or a particular decision date. Keep the eventual decision separate from your response confirmation and read it in full.
