Start with what the host is actually offering
Discuss the arrangements before drafting anything. Establish who is visiting, how the host and visitor know one another, the intended dates and whether the host is offering accommodation or financial help. Write down the agreed facts in plain language.
A short, accurate explanation is more useful than a dramatic promise to “take full responsibility” that nobody has defined. If the host is providing a room but the visitor is paying for transport and daily expenses, describe that arrangement clearly.
Use a practical outline, not a guaranteed template
A working outline can include the host and visitor’s names, their relationship, the reason for the visit, intended dates and the arrangements the host can confirm. Include appropriate contact information and follow the official application instructions for any supporting records.
This is a drafting aid, not a mandatory official format. Avoid adding identification numbers or sensitive records merely because an online template includes them. Check what is actually requested for the application and share documents through an agreed secure process.
Match the invitation to the rest of the application
Compare the dates and accommodation explanation with the visitor’s form and trip plan. Check that the funding description does not conflict with another statement. If plans change while preparing the application, review all affected documents together.
For example, an invitation offering accommodation for a short family visit should not quietly sit beside a form describing a much longer stay at a hotel. Resolve the genuine plan rather than assuming that more documents will make the discrepancy disappear.
Keep an ordinary invitation distinct from formal sponsorship
The Tourist stream can cover visits to relatives or friends. The Sponsored Family stream is a separate route with its own requirements. A letter from a relative does not, by itself, determine the appropriate stream or establish formal sponsorship.
Read the official route instructions before starting. If your circumstances raise a question about sponsorship or eligibility, obtain advice from an appropriately authorised professional rather than choosing a stream based on the heading of a downloaded letter.
Review the wording with the host
Ask the host to read the final version and confirm that it describes arrangements they genuinely understand and intend. Correct accidental exaggeration, outdated dates and statements copied from somebody else’s example. Do not invent employment, financial support or accommodation.
Keep the agreed version with the application records. The visitor still needs to answer the questions and supply the evidence requested for their own circumstances. An invitation is one part of that explanation, not a substitute for the whole file.
